Diversity Collective is hiring! We are looking for an Admin Assistant to join our team! Our Administrative Assistant’s responsibilities include making meeting arrangements, preparing reports and maintaining our filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you are familiar within our organization, then you know this position is perfect for someone who is as passionate about serving our community.

We are looking for a professional who can be our Admin Assistant and thrive in a fast-paced environment. We are conveniently located in Ventura and are looking to hire someone immediately!

The right candidate should have experience in office administration. Proven or demonstrated ability to answer and proven experience as an administrative assistant, virtual assistant or office admin assistant, knowledge of office management systems and procedures, working knowledge of office equipment, like printers and fax machines, excellent time management skills and the ability to prioritize work, attention to detail and problem-solving skills are a must as are strong organizational skills with the ability to multi-task.

The ideal candidate will be proficient in Microsoft Office (Excel, Word & Outlook), Drop Box, and Google Apps. This individual should also possess strong interpersonal/communication skills, and be a reliable team player who will assist their office with a variety of administrative functions.

A maximum of 20 hour per week / Hourly Rate $11-$15 per hour, depending on experience

RESPONSIBILITIES

  • Answer and direct phone calls
  • Act as the organization’s first line of marketing by engaging walk in visitors
  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Book travel arrangements, when needed.
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
  • Liaise with executive and service partners to handle requests and queries from senior managers
